How to interpret the training budget

Modified on Thu, 1 Oct at 9:28 AM

The budget module displays various metrics that help you understand the status of training expenditure. This article explains how to interpret them correctly.

What information does the budget show?

For each budget, you will mainly see three values:

  • Consumed
  • Committed
  • Available

Understanding these three concepts is key to correctly interpreting the status of the budget.

Consumed

The consumed amount is what has already been recorded as expenditure.

Includes:

  • Expenses entered in training activities
  • Costs already allocated to the budget

This is the actual expenditure that has already been made.

Committed

The committed represents expected costs or those pending full registration.

For example:

  • Ongoing training activities with estimated cost
  • Expenses that have not yet been recorded as final

This is an estimate of future expenditure.

Available

The available is the amount remaining to be used.

It is calculated as: Total budget – consumed – committed

This is the money you can still use.

Practical example

Suppose a budget of €10,000:

  • Consumed: €4,000
  • Committed: €2,000
  •  Available: €4,000

This means:

  • You have already spent €4,000
  • You have another €2,000 planned
  • You can spend up to €4,000 more without exceeding the budget

How to use this information?

Expense control

  • Check the consumed to understand the real expenditure
  • Check the committed to anticipate future costs

Prevention of deviations

  • If the available is low → risk of exceeding the budget
  • If the committed is high → there are significant future expenses

Decision making

You can use this information to:

  • decide whether to launch new training programs
  • adjust the budget
  • redistribute expenses among items

Common mistakes

  • Thinking that the consumed reflects all expenditure
  • Ignoring the committed
  • Not checking the available before planning new actions

 This can cause budget deviations.

Recommendations

  • Regularly review the budget
  • Take into account both the consumed and the committed
  • Use the available as a reference before approving new expenses

Note

The metrics update automatically based on:

  • the recorded expenses
  • the training activities
  • the distribution among budgets
