Manage expense notes

Important: this article is intended for Endalia HR users with an Administrator profile.

Administrators can access this screen to manage pending expense notes. Follow the tips in these lines to quickly and easily enhance your experience.

In this article:

Manage expense notes

  1. Within the hub Compensation, click on  Expenses > Expense notes.
  2. On the Expense notes screen, you will see several tabs that allow you to filter notes by their status:
    • Pending my validation
    • Pending validation by others
    • All notes
  3. To manage a note, click on the expense box or the corresponding row. In the toolbar, you will find the following options:
    1. Add expense note. Create a new expense note associated with an employee.
    2. Edit expense note (explained below)
    3. Change status. Modify the status of the note, e.g., from draft to pending approval. 
    4. Delete expense note. Depending on the status of the note, deleting it is allowed.
    5. Download expense summary. Get a detailed report of the expenses recorded in the note.
  4. Click on Edit expense note from the toolbar, or double-click on the line of the note to access the following sections:
    • General information of the expense note. In this section, you can add new expenses or edit/delete existing ones from the Expenses section.
    • Validation processes. Check the history and status of the note validation. 
    • Supplementary documents. Access any additional files associated with the expense note. 

About cost units

Your organization might have enabled the cost units feature. If so, you will see an additional field when creating or editing an expense note.

  • Select a cost unit when creating the note. This cost unit will automatically pre-load in all expenses you add within that note.
  • The cost unit can be modified for each individual expense if necessary.
The cost unit can be configurable and depends on how the company has set up the feature. If you don't see this field, it might not be enabled in your company.
Note: Remember to click on Save changes every time you make modifications to the expense note or the expenses included in it. This ensures that all actions are saved correctly.
