Configure documentation templates

Documentation templates allow standardizing the documents generated within the organization and facilitate their use in different modules. From this section, you can create or edit templates and also configure specific templates for digital signatures, contract annexes, compensation letters, or documents with advanced exceptions.

Create documentation templates

Within the Configuration hub, go to People and positions > Documentation templates.

On the screen, you will find the list of existing templates, which you can consult or archive. To create a new template:

  1. Click the Add template button and select the type of document you wish to create.

  2. Fill in the required fields of the first step and click Next.

  3. In the Configure template section, you can consult the tags to be copied in the template that will automatically integrate into the document generation.

  4. Next, upload the prepared document with the defined tags.

  5. Define the evidences or positions where it is necessary to place signatures or marks (for digital signature).

  6. Finish the process with the summary, confirming creation using the Add button.

Once saved, the template will be available for use in other modules or for further editing.


Edit documentation templates

From the same screen, you can edit any existing template. The process is very similar to creation, with the difference that here the configuration of exceptions is enabled. 

Exceptions in templates

Exceptions allow the definition of very specific rules to determine when a template should be applied. You can select multiple values in each field, and the template will apply as long as at least one of them is met for each configured field.

The available exception options are:

  • Company

  • Work center

  • Agreement

  • Professional category

  • Contract type

  • Position

This allows adapting the templates to different groups within the organization, ensuring each employee receives the appropriate documentation according to their situation.
