Configure payments

Important: this article is intended for Endalia users with Administrator profile.

Extra payments and vacation pay are configured directly within each collective agreement. An important update: you now need to manually assign employees to each payment for it to be applied in payroll calculation.

How to configure an extra payment

Access the agreement from Configuration → People and Positions → Agreements and open the Payments tab.

Step 1. Add an extra payment

Click on Add extra payments to open the configuration form.

Step 2. Complete the basic information

Give the payment a name, associate it with a concept, and choose the payment mode: prorated or not prorated. You can mark it as the default payment if it applies to most employees.

Step 3. Define accrual

This step only applies if the payment is not prorated. Indicate the day and month the accrual starts, its duration in months, and the month in which it is paid. Also define whether the payment is made within or after the period. You can add comments if needed.

Step 4. Define how it is calculated

In the Extra payment application tab, select the calculation type:

  • Concepts: the amount is calculated from the salary concepts you select. Define the reference salary (average or last) and the workday percentage.
  • Fixed amount: the same amount is applied to all employees.
  • Fixed amount by category: a different amount is applied depending on the employee's category.

Step 5. Set up exclusions

In the Exclusions tab, indicate which periods of temporary disability and types of absence should not be included in this payment's calculation. If no exclusion applies, you can leave this tab blank.

Step 6. Assign employees

Important: each payment must have assigned employees for it to be applied in payroll calculation.

In the Assignment tab, click on Assign employees and:

  1. Define the validity period of the assignment.
  2. Search and select employees by first name, last name, ID, or code.
  3. Click Next to review the selection and confirm.

You can create different assignments with different validity periods for the same payment.

Step 7. Save the payment

Once you have completed all the tabs, click Add to save the extra payment.


How to configure vacation pay

In the same Payments tab of the agreement, click Add vacation pay.

Step 1. Complete the general information

Give the payment a name and associate it with a concept. Define the amount, the type of payment, the number of months, and the associated concepts. These values will be applied by default to all categories, although you can add exceptions by category in the next step. You can mark it as the default vacation pay and add comments if needed.

Step 2. Set up exceptions by category

In the Categories tab, you can define different conditions for specific categories. Select the category and define an amount, type of payment, and own concepts for it. If a category does not have an exception configured, the general values from the previous step will be applied.

Step 3. Assign employees

Important: vacation pay also requires manual assignment of employees to be applied in payroll.

In the Assignment tab, click Assign employees, define the validity period, and select the corresponding employees.

Step 4. Save the payment

Click Add to save the vacation pay.


Frequently Asked Questions

Can I have more than one extra payment in the same agreement?
Yes. You can create as many extra payments as you need within the same agreement.

Can I assign employees with different validity periods to the same payment?
Yes. A single payment can have several active assignments with different validity periods, allowing you to manage group changes over time.

What happens if I do not assign employees to a payment?
The payment will be configured but will not be included in payroll calculations until it has at least one active assignment.
